Role Overview
The Data Controller is responsible for receiving, reviewing, scanning, uploading, and archiving contract covers, damage reports, vehicle sketches, and customer-related documents.
The role ensures that all damage records are accurately matched with supporting photos and reports, properly approved, priced when required, and entered into SAP as sales orders according to the final amount charged to the customer or employee.
Requirements
- Previous experience in data entry, document control, administration, or operations is preferred.
- Good knowledge of document archiving and filing systems.
- Good computer skills, especially Microsoft Office.
- Experience using SAP is a strong plus.
- Good follow-up and coordination skills.
- Basic English is preferred.
- Ability to work with different departments such as Accounts, Admin, and Operations.
Key Responsibilities
- Follow up on receiving contract covers from the Accounts Department.
- Scan contract covers and damage reports. Upload damage photos and attach them to the customer file.
- Match the damage photos with the issued damage report.
- Send the report to the Admin Department if any item requires pricing.
- Follow up on the approval of the damage report by the Executive Manager.
- Enter the approved damage report into SAP as a sales order with the final amount to be charged to the customer or employee.
- Follow up on updating the vehicle sketch after replacements or repairs. Take a scanned copy/photo of the updated vehicle sketch and save it in the vehicle sketch file.
- Take a copy of the customer account statement.
- Prepare the first-entry vehicle sketch.
- Archive contracts and related documents properly.
